What to Include in a Moving Quote Request

Gather your inventory, addresses, timing, and access details before requesting a quote for a move in Rogers or Northwest Arkansas.

Before asking for a moving quote, gather the details that describe the work: what is moving, where it is going, when you need help, and what the crew will encounter at each address. A room count is a useful starting point, but it does not explain a full garage, a large sectional, or a separate storage stop. This checklist helps you prepare a clear request for a move in Rogers or elsewhere in Northwest Arkansas.

Start with both addresses and your timing

Provide the pickup and delivery addresses, your preferred moving date, and whether that date is flexible. Mention any additional pickup or drop-off before the quote is prepared. A move between two homes is a different plan from one that also includes a storage unit or another family member’s furniture.

Explain when each property will actually be available. If key pickup or closing is still being arranged, say so rather than giving a firm time you cannot confirm. Ask what arrival window is available and what needs to happen to reserve it. A quote request by itself should not be treated as a confirmed booking.

Make a practical inventory, including the easy-to-miss spaces

Walk through the home one room at a time and list the main furniture pieces. Include beds, dressers, sofas, dining furniture, desks, shelving, and outdoor items that are coming with you. Check the garage, closets, spare rooms, and any separate storage area. Note what is staying behind so it is not accidentally included in the plan.

Give your best current estimate of the number of packed boxes, and explain if packing has not started. Describe unusually large, heavy, delicate, or awkward items separately. Photos can help explain a piece or a crowded room, but ask the company how it prefers to review them. Do not assume an item is covered simply because it appears in the background of a photograph.

Explain which work you want help with

Be clear about whether you need transportation between homes, help loading or unloading, or assistance with particular pieces. Ask which requested tasks the company can provide and which preparations are your responsibility. If furniture may need to come apart, describe it early and ask how disassembly and reassembly will be handled.

Describe access that changes the carrying work

For both properties, mention stairs, floor numbers, elevators, gates, long carrying distances, and any restrictions on truck parking. Explain where the truck can realistically stop rather than measuring only the distance between addresses. A short drive can still involve substantial carrying work at either end.

If a building has a reserved loading area or limited moving hours, share those requirements before agreeing on the schedule. For a detailed access walkthrough, use the apartment checklist linked below. You do not need to repeat every measurement in the first message, but flag anything that may need a closer look.

Use the apartment moving access checklist to gather building contacts, key pickup details, and elevator or parking instructions before the crew arrives.

Compare what is included, not just the final number

Ask how the quote was worked out, what work it includes, and what could change the amount. Clarify how travel, additional stops, requested materials, and any extra work are handled. Ask about payment timing, booking requirements, and rescheduling terms directly; do not assume two companies use the same approach.

Keep the written scope with your inventory so you can compare like-for-like requests. If you later add furniture, change an address, or discover that the elevator will be unavailable, tell the company promptly and ask whether the quote or schedule needs updating. Clear updates are more useful than hoping the original description is close enough.

Send one clear request

A useful first message can read: “I am planning a move from [pickup address] to [delivery address] around [date]. We have [rooms and main furniture], approximately [box count], and [stairs or access details]. We need help with [requested work]. There is also [additional stop or unusual item]. What other information do you need for a quote?”

Keep personal documents out of room photos, save a copy of the details you send, and make sure the company has a reliable way to reach you. A complete request gives you a better starting point for discussing the work and deciding whether the proposed moving plan fits your household.
